How Organizations Can Manage Everyting From Open Calls to Exhibitions All in One Place
Managing an open call shouldn't feel like a full-time job in data entry. If you’re tired of jumping between spreadsheets, email threads, and jury management systems, Artwork Archive just streamlined your entire workflow.
We went back to the drawing board when we designed our Calls for Entry Platform, building out all the features organizations would need when creating their custom applications for residencies, grants, exhibition opportunities, RFPs, and other open calls.
We had heard from too many organizations that were using a call for entry software to post their opportunity, another platform to collect submissions, a third to communicate with artists, and yet another one to organize and track the exhibitions that resulted from their calls.
Artwork Archive’s Calls for Entry Platform combines all of these functions into one. Plus: applicants never have to have a paid Artwork Archive account to submit.
Now, organizations have even more reasons to love the platform. New Submission Categories allow you to sort your entries, so your 3D-specialist jurors can view all the 'Sculpture' entries with a click, saving hours of manual filtering.
Organizations can now run Open Calls, Hidden Calls (findable only by people with a link), and Private Calls (accessible only with a password)—useful for organizations that want to keep their public pages clean while making their VIPs feel valued. Plus, you can now share Discount Codes with your organization's members, as a helpful way to reward users who have submitted in the past, or to offer fee-free submissions based on need.
Your first pass at reviewing submissions is pain-free with easy Filtering and Sorting options in your Calls for Entry portal. We’ve also made it simpler to move between submissions with clear navigation buttons.
You now have the option of running their calls as Open Jury or Blind Jury. Blind Jury rooms remove all identifying details from artist submissions for jurors, allowing jurors to evaluate an artist’s work without their name, reputation, or background influencing their ratings. Take unconscious bias out of the equation by ensuring your call is judged solely on the merit of the work.
Organizations can also add Additional Piece Fees for artists who want to add additional works. And for organizations running paid calls, you can create Income Reports based on your calls, to see in detail how much revenue has been generated by your calls.
Communication Tools and Professional Reports That Take the Headache Out of Calls for Entry
Communicating with applicants is now easier than ever: organizations can message individual artists directly through the platform, and can Request Changes if more information is needed from an artist. At any point during the call, you can Mass Email all participants of any changes to the call. (Call for Entry applicants are automatically added to your Contact Records within Artwork Archive.)
We’ve also upgraded the platform to help you add accepted Artwork Submissions directly to your Inventory, making it easy to quickly turn accepted pieces into an Exhibition Record. That means that creating professionally designed Artwork Labels, Exhibition Reports, Tear Sheets are a snap from your Exhibition Record.
And when it comes time to notify applicants, you can sort by All Artists, Accepted Artists, and Not Accepted Artists and send custom messages to any of these groups using the Email Applicants tool—plus, you can let applicants know exactly which of their works have been accepted with a simple checkbox.
Best of all, all your data is really yours: at any time, you can download an XLS spreadsheet of all applicant information.
New Tools That Jurors Will Love

When you’re asking jurors to contribute their time and energy to your calls, the last thing you want is for them to encounter a confusing jurying portal.
Convoluted logins, lost ratings, and poor communication tools are the bane of any jury’s job.
Artwork Archive makes jurying calls easy: jurors will receive an email directly in their inbox with their invitation with a link taking them directly to their Jury Room.
From this simplified Jury Room, jurors can add star ratings to individual pieces and to an artist’s entire submission, and they can add private notes that are viewable only by the call administrator. Administrators can instantly see which artists have the highest average scores, turning a four-hour deliberation meeting into a focused 30-minute final selection.
The mobile-friendly Jury Room also means that jurors can review submissions from a tablet or phone during their commute or downtime, leading to faster turnaround times for your organization.
Adding to these simple yet effective tools, jurors can now sort by Submission Categories, making it easy for a Painting juror to only review their medium’s submissions. You get higher-quality feedback and a jury that is actually excited to work with your organization again next year.
And with the new Blind Jury option, evaluation can be focused on the artwork, not the artist’s CV.

Boost Application Rates with an Artist-Centric Experience

When an artist selects your opportunity to apply to, the deadline is automatically added to their Schedule so that can plan out their application well in advance.
Artists will then receive Reminders in their inboxes as your deadline approaches, and artists with drafts can receive nudges that their application is incomplete—a feature artists love that helps keep them on track with their applications. Plus, every nudge sent to an artist with an incomplete draft is a potential submission fee that would have otherwise been lost to a forgotten deadline.
Overall, artists applying to your calls will experience an intuitive, mobile-friendly interface—improving completion rates and cutting down on support time for your organization.
